Our goal is to provide you with optimized services.  To help us ensure your event is a success, please read and consider the following guidelines:

Case-based sessions:

  • New cases and scenario development require a minimum of 5 months lead time to plan, build, prep, pilot and finalize in advance of implementation with learners.
  • Requests for new simulation activities should be received at least 6 weeks prior to training dates.
  • All scenario and case information, requests for Standardized Patients, as well as equipment and supply needs should be received no less than 4 weeks prior to the training.
  • Any requests for additional staffing from iCELS to support the training on the day of the session should be requested at least 2 weeks prior to the training.

Procedural Skills Space:

  • We understand the importance of self-directed learning (individual learners meeting their own needs) and structured skills practice (sessions planned for groups of learners to work together on specific skills)
  • Procedural skills space is accessible by badge access 24/7 for self-directed learning for approved users. On occasion the space may be booked for scheduled events in which case self-directed learners will not be able to utilize.
  • For structured skills sessions > 5 learners', reservations are required to guarantee equipment and space is available.
  • Please plan to allow adequate time for processing requests. This allows for appropriate planning to ensure adequate space, equipment and support are available.
    • For repeat events that require only space reservation, request at least 2 weeks prior to the session.
    • For repeat events that require iCELS support, request at least 1 month prior to the session.
    • For new skills session events, request at least 3 months prior to the session.
    • For new simulation events/hybrid simulation request at least 5 months prior to the session.
  • Badge access to the procedural skills space will be coordinated through GME program coordinators/program sponsor by iCELS following match . The process involves program coordinators completing a template with information regarding each new intern who requires badge access. For individual access requests please use the following link Online Survey Software | Qualtrics Survey Solutions.

Please note: Any requests submitted fewer than 2 weeks in advance may not be able to be accommodated due to space or resource limitations.  Activities beyond regular business hours are available upon request and subject to approval (except for self-directed learning for approved users in the procedural skills space, which is accessible to those individuals by badge access 24/7.
